The repository currently uses ArchiveSpace software to create and manage information for collection finding aids. What are finding aids? Finding aids are dual purpose guides for users and archivists and if utilized correctly, powerful tools for research. Finding aids, or collection guides, assist archivists in managing and recording administrative and descriptive information for collections. Finding aids also assist researchers and users in investigating the collections for relevant topics or materials of interest without needing to view the collection in person. The “Search and Access the Collection” tab provides several quick links to the repository’s ArchivesSpace finding aids, the research request form, and to the repository’s Casper College digital repository, which features collections with topics and materials specific to Casper College specifically. The “Research Guides” tab will provide quick links to the various other Libguides related to the repository. These links will take the user to guides for individual collections, guides for specific research topics, instruction research guides, and course guides. From the second tab labeled “Introduction to the Finding Aids” will take the user to the repository’s ArchivesSpace finding aids main page. The main page of the finding aid site will present search options, including options for entering keywords, desired record types, fields, and years. On the bottom half of the page, the user will see additional information about the repository and contact information for questions. Submitting your search will bring up a page with a list of the collections and materials that align with the user’s search parameters. In the right column, there are search fields available to narrow down this suggested list further, including additional filters and suggested search subjects. Labels underneath the search results will indicate if the suggested materials is a file, item, or collection and provide a brief description of the material. The user can find all of the collection’s descriptive and administrative information on this page. If an item or file is selected from the results, the user will be taken to that specific item’s page, not the collection’s main page. Collections are organized into files, boxes, and items. Selecting the drop down tabs in the right side column labeled “Collection organization” allows the user to see which items are contained in which box or folder in the collection. When selected, some items may have their own descriptions or locations, but otherwise will have the same description and information as the collection’s main page. The “College Archives Digital” link will take the user to the digital collections page for collections with topics and materials specific to Casper College. c. The “Special Collections Digital” link will take the user to the digital collections page for collections with topics and materials specific to Casper (Wyoming), Natrona County, and Wyoming (State). d. The “Research Request Form” link will take the user to the online form where they can enter research requests for the repository to investigate prior to a visit or further contact with a student or outside researcher. This is to allow enough time for archivists to pull specific materials or prepare additional resources beforehand. These sites can be accessed from the Western History Center’s main page and as detailed in the steps in this guide. What is a Digital Repository? Digital repositories contain digital collection materials of various file types and make them accessible for viewing online. Digital collections and materials may or may not have physical counterparts or copies in the on-site repository, but they will often contain the same descriptions and contextual arrangement. The main page contains featured collections and quick links to recently added items. On the left side column are options to view individual items, individuals collections, and the search bar. After typing in the keyword or phrase that the user wants to search, the user can check or uncheck the boxes next to the drop down menu items to narrow down their search queries or desired record types, then press the search button on the end of the search bar or press ENTER. Selecting “Browse Items” will bring the user to a page with all individual items added to the repository in order, along with the total number of items currently in the repository. Selecting the “Search Items” tab along the top bar, to the right of the “Browse All” tab, will present options for additional and more specific search options for finding individual items. Selecting the “Search all items” button at the bottom of this page, or the “Browse All” tab at the top will return the user to the list of individual items with the additional search parameters applied (no changes if no additional search fields were filled out). Returning to the main page, selecting “Browse Collection” will bring the user to a page listing all the available collections added to the repository in order, along with the total number of collections currently in the repository. Selecting a collection will bring you to the collection’s page, which will first feature its metadata and then its individual items. If the user scrolls to the bottom of the page and selecting “View all ( ) Items” button will present a page listing all the available items in that collection only. Scroll to bottom of page. When selecting individual items to view either within a collection or from the “Browse Item” tab, the user will be brought to that item’s page which will present first the item’s viewable media content (JPG, PDF, etc.) and then the item’s metadata information. Scrolling to the bottom, the user may navigate to the next item. Page 12 of 18 Casper College Archives and Special Collections, 125 College Drive, Casper, WY 82601 �NOTE: The next item WILL NOT always be the next item in the collection and instead may be a separate item from another group or collection, which had been added to the repository directly after the user’s selected item. The best way to navigate items within a specific collection is to move back and forth between the individual item’s page and the previous collection page listing its collection-specific items using the browser page’s back button. To view the item’s media, the user can directly select the image or thumbnail at the top of the item’s page. This will show the image file or document in a browser viewer. With items that are PDF documents, information about the images, page numbers, and other options will appear along the top bar. To read documents in their entirety, the user can scroll down. To exit the viewer, select the backspace arrow in the top left.
